IATEFL Poland has signed partnership agreements with several sister associations around the world. These partnerships provide opportunities for our members to participate in international conferences, exchange professional ideas, and strengthen international cooperation.
To ensure fair access to these opportunities and effective coordination with our partners, all members interested in representing IATEFL Poland abroad must first apply through IATEFL Poland. Following an internal selection process, successful applicants will be nominated and referred to the relevant Partner Association.

Application procedure

STEP 0
Make sure your YOU PROPOSAL IS ACCEPTED by the Associate Partner before you start your application for a grant to represent IATEFL Poland!
Start your grant application process described below only when you receive e-mail confirmation from the conference organisers that your talk, workshop or plenary lecture have been accepted.
Step 1 – Expression of Interest
Members wishing to receive a grant to represent IATEFL Poland abroad should send an application to the Liaison Officer at: liaison@iatefl.org.pl
The application should include:
- information about the conference or event;
- details of a proposed presentation (if applicable);
- confirmation of the proposal acceptance by the assiociate partner
- a short statement explaining the applicant’s motivation and expected benefits for IATEFL Poland;
- a preliminary estimate of expected costs (travel, conference fee, accommodation, food allowance, etc.);
- a completed funding application form.
Step 2 – Selection
The Recruitment Committee reviews all applications and decides:
- who will represent IATEFL Poland;
- which applicants will be nominated to receive the grant(s);
- the level of financial support to be awarded.
Only applicants approved by the Recruitment Committee may proceed as official representatives of IATEFL Poland.

Step 3 – Contact with the Partner Association
- the event programme,
- accommodation,
- travel recommendations,
- and any additional requirements related to participation in the exchange.
Participants are expected to maintain regular communication with both associations and comply with all deadlines set by the organisers.
Step 4 – Financial Arrangements
Once participation is confirmed, the representative should contact the IATEFL Poland Treasurer: treasurer@iatefl.org.pl
The applicant may request financial support and, where appropriate, an advance payment.
IATEFL Poland may contribute towards:
- travel expenses;
- conference fees;
- accommodation costs;
- food allowance.
The amount awarded will be determined by the Recruitment Committee.
Step 5 – After the Event
Within 10 days of the event, the representative should submit to the Treasurer:
- a completed Rachunek podróży zagranicznej;
- tickets, invoices and any other required financial documents;
- information regarding the event attended.
Within 3 weeks of the event, the representative should submit a conference report for publication in the IATEFL Poland Newsletter: office@iatefl.org.pl
Reimbursement
Applicants should note that they are normally expected to pay conference-related expenses themselves in the first instance. Reimbursement will be processed after the event, upon receipt and verification of all required documentation.
Frequently Asked Qestions
Who can apply?
Only current members of IATEFL Poland may apply.
Can I apply for more than one event?
Yes. Members may apply for more than one conference or event during the year. However:
- a separate application must be submitted for each event;
- each application will be assessed independently;
- priority may be given to members who have not yet benefited from representation or funding opportunities in a given year;
- receiving support for one event does not automatically guarantee support for another event;
- the Recruitment Committee may limit the number of events supported for one applicant depending on the available budget and the number of applications received.
Do I need to have a presentation proposal accepted before applying?
No. Interested members should first contact IATEFL Poland. If you are selected to represent the association, you will be guided through the next steps, including communication with the Partner Association.
Is financial support guaranteed?
No. Financial support depends on the available budget, the number of applications received, and any support provided by the host association.
Can I represent IATEFL Poland without giving a presentation?
Yes. In exceptional cases, a member may be nominated to attend a conference or meeting without presenting. Such nominations require prior approval from the Recruitment Committee.
